Description: The 340B Program Manager will develop expertise in the 340B program, providing staff and participants with information on ongoing compliance. They will serve as a subject matter expert, overseeing all 340B Program Covered Entities to ensure maximum program utilization, complete and accurate record-keeping, and adherence to primary objectives set by leadership. This role involves requesting and obtaining electronic, auditable records for 340B documentation during audits, and assisting in the implementation of effective data-gathering processes related to the 340B program. Additionally, the role involves aiding in the adherence to 340B-related policies and procedures.
Responsibilities: - Audit Coordination: Collaborate with the 340B Auditor to manage the transition between audit phases, including kick-off, document gathering, and completion of audit reports.
- Client Communication: Communicate daily with active audit clients to request and receive outstanding documents from the audit checklist.
- Document Review: Assess documentation provided by clients for accuracy and completeness, providing education or clarification as needed.
- Documentation Management: Upload client documents to the appropriate audit folder and update the audit checklist to confirm receipt.
- Claim Audit Review: Conduct detailed audits of randomly sampled claims to confirm 340B eligibility requirements are met.
- Client Briefing Preparation: Prepare detailed summaries of any comments or feedback related to received documents for Consultants.
- Template Updates: Update internal documentation templates related to client audits to facilitate information transfer to Audit Consultants.
- Data Retrieval: Obtain login credentials for third-party applications to download necessary claim details files.
- Project Plan Management: Keep client project plans updated in real-time to maintain current project information.
- HRSA OPAIS Navigation: Use the Health Resources and Services Administration OPAIS application to search and download audit documentation.
- Ongoing Audits: Develop and execute quarterly audits of all active client programs, ensuring thorough documentation of findings.
- Annual Independent Audits: Coordinate and oversee annual independent audits of all 340B processes and external compliance assessments.
- Day-to-Day Management: Oversee the management, compliance review, and operations of clinic-administered medications in eligible locations.
- Relationship Management: Maintain internal relationships with accounting, legal, and pharmacy departments, and external relationships with wholesalers, manufacturers, contract pharmacies, PBMs, and TPA vendors.
- Program Trends: Stay abreast of trends and issues pertaining to the program and communicate applications and interpretations to the Pharmacy Director.
- HRSA Database Accuracy: Verify the accuracy of the HRSA 340B Database for all organization entities.
- Professional Development: Maintain professional growth through seminars, workshops, meetings, and literature review related to the 340B program.
- Communication: Maintain open communication lines with all staff and management involved with the 340B program, providing timely and accurate updates on changes and quality improvement activities.
- Compliance Action Plans: Assist with the implementation of action plans to correct 340B compliance deficiencies.
- Reporting: Participate in the development of quarterly and annual 340B reports documenting utilization, savings, and any discrepancies.
- Training and Education: Share expertise and assist with staff training and education regarding updates to 340B policies and procedures.
- Point of Service Audits: Audit all points of service for 340B compliance, ensuring consistent processes are followed.
- Technology Utilization: Maintain knowledge of computerized systems, split-billing software, and specialized equipment related to the 340B program in collaboration with the Pharmacy 340B Program Manager and Information Services.
- Other Duties: Perform other duties as assigned.
Requirements: - Specific 340B training and/or knowledge required.
- Travel requirement ??? 35%, to client locations
- Bachelor of Science in Healthcare Administration or a related field with experience in Project Management is preferred.
- 2-3 years of experience with the 340B Drug Pricing Program in healthcare and/or with a healthcare provider is preferred.
- Aptitude for understanding regulatory standards relating to the 340B program and pharmacy operations.
- Knowledge of pharmacy-related matters and practice requirements.
- Ability to work remotely with occasional travel to corporate or other locations for meetings.
- Proficiency with various computer applications and the ability to work with data at a computer for extended periods.
- Excellent verbal and written communication skills.
